Description
Purpose:
The Executive Director (ED) will ensure CFL’s mission to provide enriching and memorable experiences for children is fulfilled. The ED will oversee all aspects of camp operations, including programming, staff management, fundraising, marketing, and community engagement. This role is pivotal in fostering a safe and nurturing environment for campers and staff. In addition, the ED shares in the responsibility with the Board of Directors of the stewardship of the financial sustainability of CFL.
Key Responsibilities:
1. Leadership and Strategic Planning:
- Develop and implement the camp’s strategic vision and goals in collaboration with the Board of Directors.
- Provide inspirational leadership to directors, staff, volunteers, and campers, promoting a positive and inclusive camp culture.
2. Program Development and Management:
- Oversee the design, implementation, and evaluation of camp programs to ensure they are safe, engaging, competitive in the marketplace, and aligned with CFL’s mission.
- Continuously assess and improve strategic program offerings based on camper/staff/parent feedback, industry trends, and best practices.
- Coordinate logistics for all camp activities, including scheduling, transportation, and supplies.
3. Enhance Camp Programming:
- Oversee Girls Camp and Boys Camp master calendar
- Oversee program notebooks
- Oversee development of optimal cabin placement of Girls Camp and Boys Camp campers and counselors
4. Business Operations:
- Legal and Compliance: Ensure the camp adheres to all legal requirements, including labor laws, safety regulations, and non-profit compliance standards. This involves staying informed about changes in regulations and implementing necessary adjustments.
- Facilities Management: Oversee and manage individuals responsible for the maintenance and improvement of camp facilities, ensuring they are safe, functional, and conducive to an enriching camp experience.
- This includes managing relationships with contractors, vendors, and service providers.
- Develop and implement a long-term facilities management plan in conjunction with the Board of Directors
- Human Resources: Implement and oversee HR policies and procedures, including employee recruitment, onboarding, training, payroll, benefits administration, and performance management.
- Technology and Systems Management: Ensure the camp’s technology infrastructure is up-to-date and effectively supports administrative functions and program delivery. This includes managing IT resources, databases, and software applications.
- Supply Chain Management: Oversee procurement processes for camp supplies, equipment, and services, ensuring cost-effectiveness and quality. This includes managing inventories, vendor relationships, and contracts.
- Administrative Oversight: Streamline administrative processes to enhance efficiency and effectiveness in camp operations. This includes record-keeping, documentation, and reporting practices.
- Financial Management: Develop and manage operational budgets, monitor expenditures, and implement cost-control measures to ensure financial stability.
- Work closely with the finance team and bookkeeper to ensure accurate financial reporting and audits.
- Provide regular financial reports to the Board of Directors and Stakeholders
5. Staff Recruitment and Development:
- Oversee the recruitment, hiring, and training of a diverse and skilled team of camp staff and volunteers.
- Foster a positive and collaborative work environment, providing ongoing professional development opportunities.
- Conduct regular performance evaluations and provide constructive feedback to staff.
6. Marketing and Community Engagement:
- Create and implement marketing and outreach strategies to promote the camp and increase camper enrollment.
- Build and maintain relationships with community partners, schools, churches, and other organizations to enhance the camp’s visibility and impact.
- Represent the camp at community events, conferences, and other public engagements.
- Oversee and monitor the performance of the Director of Development and outreach events.
7. Health and Safety:
- Escalate all significant safety concerns directly and immediately to the President of the Board of Directors.
- Ensure the physical and emotional safety of all campers and staff, implementing robust health and safety protocols.
- Oversee risk management practices, including emergency preparedness and response plans, insurance requirements, and legal risk strategies.
- Ensure the camp facilities are well-maintained and meet all safety standards.
- Ensure compliance with all federal, state, and local regulations, as well as camp policies and procedures.
- Overseeing & Hiring Kitchen Staff including ensuring food orders are placed within budget and meals are well-balanced and nutritional
Qualifications:
- Bachelor’s degree in Business, Education, Recreation, Non-Profit Management, or related field (Master’s preferred).
- Minimum of 5 years of leadership experience in a camp or youth-focused organization.
- Proven track record in fundraising and financial management.
- Strong leadership, communication, and interpersonal skills.
- Ability to work effectively with diverse populations, including children, parents, staff, volunteers, and community partners.
- Passion for youth development and commitment to CFL’s mission.
Working Conditions:
- This position requires living on-site during the camp season and may include irregular hours, including evenings and weekends.
- The Executive Director must be physically able to participate in camp activities and navigate the camp’s outdoor environment.
